The Information Technology Services (ITS) team utilizes the project management process outlined below to help us evaluate, plan, build, test, and implement your projects.
Step 1: Project Submission
Any member of the UTIA faculty and staff can submit a project request using our Project Request form. Once a request is submitted, it will be sent to ITS’s project management tool, Trello, where it will be ready for review by ITS’s project managers.
Step 2: Project Review
ITS’s project managers meet weekly to review new project requests and progress on current projects. New projects will be reviewed and it will be determined if the project will be accepted and move forward in the process, put on hold until a later time, or rejected. The requestor will be notified of the decision and next steps.
Step 3: Project Intake
Once a project is approved, a project manager and project team are assigned. The project manager or ITS lead contact on the project will reach out to the requestor/client to schedule an intake meeting. In the intake meeting the requestor/client will provide additional details about the project and the ITS project team will determine next steps.
Step 4: Project Scope
Once all parties agree there is enough information to start the project, the ITS lead contact will develop a project scope outlining the purpose, scope, risks, security, timeline, deliverables, responsibilities, etc. and have it reviewed by all parties. Once all parties have provided suggestions and feedback, the ITS lead contact will finalize the project scope and send it out for signatures.
Step 5: Project Build
Once all parties have signed the project scope, the work begins. The ITS lead contact on the project will schedule the needed meetings to review progress, answer any questions of either the project team or client, conduct testing within the ITS team and with the client, etc.
Step 6: Delivery and Project Close
When the deliverables outlined in the project scope are completed the ITS lead contact will provide a project closing document outlining the deliverables of the project for the client to sign indicating their approval. The deliverable(s) will be handed off to the client for their use.
